Medius Expense

Expense management, formerly Expensya, now the expense module of the Medius spend platform

As of 1 September 2026, Medius Expense's pricing is not published; the vendor quotes on request. The product sold for a decade as Expensya, acquired by Medius in 2023 and rebranded to Medius Expense with a cutover in September 2026. Softwr lists it under Accounting. Medius Expense is made by Medius, available on Web, iOS, Android.

Overview

What Medius Expense does

Medius Expense captures receipts, applies policy, handles mileage and per diems, and exports coded claims to accounting and payroll. Its OCR was built for European receipt formats and it handles multi-language, multi-currency and VAT recovery workflows, with particularly strong coverage in France, the Maghreb and southern Europe where it grew up as Expensya. The fact that changes a shortlist is the ownership and naming. Medius, a Swedish accounts payable automation vendor, bought Expensya in 2023, and the Expensya brand is retiring: the web application moved to expense.medius.com in July 2026 with the branding cutover on 30 September 2026. Functionality is unchanged, but the product is now positioned as the employee spend half of a supplier invoice automation suite, and its roadmap follows Medius priorities. That is good if you also want AP automation from one vendor and a nuisance if you wanted a focused expense tool with an independent roadmap. Buyers are European mid-market and enterprise finance teams, often ones already running or considering Medius for supplier invoices. The trade-off is a rebranding transition mid-contract and the usual suite dynamics: the expense module competes internally for engineering attention with AP.

What people use it for

  • A French or Spanish employer needing VAT-compliant receipt capture in local formats and languages
  • A company already running Medius for supplier invoices that wants employee spend on the same platform
  • A finance team with heavy mileage claims needing statutory rates applied without spreadsheets
  • A group consolidating several country expense tools into one European platform

The honest half

Where it falls short

Concrete and checkable, so you can decide whether any of them matter to you. This is the half of a review a vendor will not write about Medius Expense.

  • The Expensya name is being retired, so contracts, logins and support articles change identity mid-relationship and internal documentation has to be rewritten.
  • It is now a module inside an accounts payable suite, so expense-specific roadmap items compete with supplier invoice work for engineering time.
  • Pricing is not published and is discounted against bundling with Medius AP, which makes standalone expense quotes less competitive than they look.
  • Strength is concentrated in Europe and the Maghreb; North American and Asian tax and mileage handling are thinner than the European coverage.
  • It does not issue cards, so real-time spend controls are absent and it relies on card feed reconciliation after the fact.

Questions people ask

Each answer names the page it came from, so you can check it rather than take our word for it.

Is Expensya still available?

Under that name, no. The product continues as Medius Expense, with the branding cutover on 30 September 2026 and no change to features or data.

Do I have to buy Medius AP as well?

No, but the commercial terms improve materially if you do, which is worth testing during negotiation.

Does it issue corporate cards?

No. It reconciles existing card feeds rather than issuing its own cards.
