What Basware does

Basware automates the accounts payable process: invoice receipt in any format, capture and coding, matching against purchase orders and receipts, approval workflow, and posting into the ERP. Around that sits a supplier network for electronic invoice exchange and a compliance service that formats and transmits invoices to meet the requirements of national tax authorities. The distinguishing capability is that compliance breadth. Mandatory e-invoicing and continuous transaction controls have spread across Europe, Latin America and parts of Asia, each with different formats, clearance models and archiving rules. A multinational that has to satisfy Italian SdI, Polish KSeF, French mandates, Mexican CFDI and more can either build that itself or buy it, and Basware is one of the small number of vendors that sells it as a service tied to the AP workflow rather than as a separate integration. Buyers are large multinationals, particularly European headquartered ones with high invoice volumes and shared service centres. The trade-off is that Basware is built for that scale. It is expensive and involved to implement for a company with a few thousand invoices a month, its user experience lags newer AP tools, and organisations operating in a single country will pay for compliance infrastructure that delivers nothing to them. Basware is owned by Accel-KKR and has grown by acquisition, including Glantus, which adds analytics but also integration work.

  • The e-invoicing compliance breadth that justifies the price is worthless to a company operating in a single country, where cheaper AP automation tools will do the same work.
  • Implementation is a substantial integration project involving ERP connectors, supplier onboarding and country-by-country compliance configuration, and it is priced and timed accordingly.
  • The user interface is dated next to newer accounts payable products, and approvers outside finance find it unintuitive, which slows the very cycle times the system is bought to improve.
  • Supplier onboarding onto the network is the hidden effort: the touchless processing rate depends on how many suppliers actually send electronic invoices, and that is a change management programme, not a software setting.
  • Growth by acquisition, including Glantus, has left overlapping analytics capability and integration work still in progress, so buyers should check which components share a data model today.
