Practice: Client management for coaches with stronger notes, forms and ongoing client relationship tracking

Packaged offer, contract, scheduling and payment flow built for coaches selling sessions rather than projects
As of 31 August 2026, Paperbell's pricing is not published; the vendor quotes on request. Paperbell sells packages of sessions rather than proposals for projects, which is why scheduling, session counting and contract signature are one object instead of three. Softwr lists it under Proposals. Paperbell is available on Web.
Overview
Paperbell lets a coach create a package, for example six sessions over three months, and publish it as a single link that handles the contract, the payment or payment plan, the intake questionnaire and the scheduling of the sessions included. The client signs, pays and books in one sequence, and the coach sees remaining sessions against each package rather than reconciling a calendar against an invoice. The distinguishing decision is that the unit of sale is a package, not a document. Proposal software assumes a bespoke scope negotiated once; coaching is a productised offer sold repeatedly with a session count attached, and every part of the workflow follows from that count. Because the account is priced flat rather than per client, the economics also run the opposite way to most client management software, where each additional client eventually raises the bill. The buyers are solo coaches, therapists and consultants selling repeatable session based packages. The trade offs are that it does almost nothing outside that shape, that it does not attempt project management or time tracking, and that payments run through a third party gateway whose card fee applies on top of the subscription.
The honest half
Concrete and checkable, so you can decide whether any of them matter to you. This is the half of a review a vendor will not write about Paperbell.
Cross-shopped
Each pairing was judged by two reviewers asking whether a buyer would genuinely weigh the two against each other. The ones that failed were deleted rather than published.

Each answer names the page it came from, so you can check it rather than take our word for it.
No. It is a flat account price with unlimited clients, which is unusual in this category and is the main economic argument for it.
The card processor takes its standard fee. Confirm the current subscription price with the vendor and model the processing fee separately.
Not well. It is built around packages of sessions, and project scoped proposals do not fit that shape.
No. Scheduling is built in, and replacing a separate scheduling subscription is part of the cost case.
Only lightly. Deep brand customisation is not available.

Softwr does not host reviews and shows no star rating for Paperbell, because a rating we did not collect is not ours to publish. What is here is the pricing and platform detail from the vendor’s own pages, limitations we could state concretely, and alternatives a reviewer confirmed people weigh against it.
