What CallRail does

CallRail assigns tracking phone numbers and swaps them into your website per visitor session, so an inbound call carries the campaign, keyword and landing page that generated it back into Google Ads, GA4, HubSpot or Salesforce. On top of that sits recording, transcription, and Conversation Intelligence, which scores calls, spots keywords and auto-qualifies leads without anyone listening to the recording. Form tracking covers the non-phone half of the same problem. What makes it commercially distinctive is that it is one of the few tools in this space that publishes real prices and sells self-serve with a 14-day trial, in a category otherwise dominated by quote-only enterprise vendors. What makes it commercially awkward is that the published price is not the bill. The entry plan is fifty dollars a month and includes five numbers and two hundred and fifty minutes. Every extra local number is three dollars a month, every extra local minute five cents, toll-free numbers five dollars and toll-free minutes eight cents, identically across all four tiers. Buyers are North American SMBs and the agencies that serve them, heavily concentrated in home services, legal, healthcare and multi-location retail, which is why ServiceTitan, Housecall Pro and Jobber are first-class integrations. The trade-off is arithmetic. A twenty-location business running three tracking numbers per site holds sixty numbers, fifty-five of them chargeable, which is a hundred and sixty-five dollars a month in number fees before a single call connects. Add three thousand minutes on the $150 tier and the real invoice is around four hundred and fifty dollars, roughly three times list. Budget for one and a half to three and a half times the advertised price.

  • Tracking numbers cost $3 each per month beyond the included five, so cost scales with attribution granularity rather than with value; a twenty-location business at three numbers per site pays $165 a month in number fees before any call connects.
  • Spam and unanswered calls consume billable minutes, and CallRail has been unclear with users about whether robocalls count against the allowance, which turns a nuisance into a line item.
  • Multiple public reviewers report cancellation friction, including counter-offers and stalling, charges continuing after account closure, and in one case an unexpected $500 charge months after cancelling.
  • Tier gating runs on two axes: form tracking and Conversation Intelligence sit on different plans, so having both means jumping to the $195 tier, and you cannot buy transcription onto the cheapest plan at any price.
