What UltraCamp does

UltraCamp handles online registration, reservations, billing, camper and family accounts, facility and retreat rentals, point of sale, and reporting for camps, conference centres and outdoor education organisations. It is aimed at the operator who wants transparent unit economics rather than an enterprise agreement. The distinguishing feature is the published price list. Reservations cost $4.00 each up to 999, $3.75 from 1,000 to 1,999 and are quoted above that, against an annual minimum of $1,200 in reservation fees. Setup is $299 once. Biographical data import is $199 and reservation history $399. Card processing is quoted as 25 basis points over interchange plus $0.35, averaging around 2.5%, with roughly $20 a month in statement and gateway fees; eCheck is $0.45 plus 1%. Optional modules are named: point of sale at $600 a year, facility rental and retreat management at $700. There are no contracts. Buyers are small to mid-sized camps, church camps, conference centres and outdoor centres that also rent facilities off-season. The trade-off is that per-reservation pricing punishes high volume: a camp taking four thousand reservations pays materially more than it would on a flat annual licence, and the revenue share on the photo gallery, where UltraCamp keeps 30% of sales, is a genuine cost most buyers only notice after switching it on.

Where it falls short

Concrete and checkable, so you can decide whether any of them matter to you. This is the half of a review a vendor will not write about UltraCamp.

  • Per-reservation pricing scales linearly with growth, so a large camp pays substantially more than it would under a flat licence and has little leverage until it passes 2,000 reservations and enters quoted territory.
  • UltraCamp retains 30% of photo gallery sales, a revenue share far above the 3% it takes on merchandise, which turns a parent-facing nicety into a meaningful cost of doing business.
  • Health and medical record handling is thinner than CampMinder's, so camps with a staffed health centre and daily medication rounds often find it insufficient.
  • The interface and reporting are functional rather than modern, and building the unlimited custom reports on offer takes administrator time the camp has to fund itself.
  • The $1,200 annual minimum means very small camps pay for reservations they never make, so the effective per-reservation cost for a camp of two hundred is closer to $6.
