  • They diverge on capability: Ottimate covers Line-item invoice capture, Xero covers Bank reconciliation.

Where each one falls short

Documented limitations, not opinions. Every one is a constraint you would hit in normal use.

Ottimate

  • Nothing is published about price, and quotes are structured by location and invoice volume, so a group with a few high-volume sites and one with many low-volume sites can receive very different numbers for the same total spend
  • The line-item extraction advantage is trained on food and beverage distributor formats, so accuracy on long-tail suppliers, service invoices and one-off vendors falls back to general OCR and needs human review
  • It is an accounts payable layer, not an inventory or recipe costing system, so operators still need Restaurant365 or an equivalent for true plate costing and the value depends on that integration behaving
  • The company has rebranded once already from Plate IQ, and much of the third party comparison material still uses the old name or wrongly attributes it to AvidXchange, which makes independent due diligence unusually hard
  • Payment execution through the platform introduces a dependency on Ottimate for supplier relationships, and moving away later means re-establishing payment details with every vendor rather than simply exporting data

Xero

  • The Early plan caps you at 20 invoices and 5 bills per month, and the invoice limit counts both approving and sending
  • Invoices created by connected app partners count against the Early plan invoice limit
  • Multiple currencies, project time and cost tracking, employee expense and mileage claims and industry benchmarking are restricted to the top Established plan at $90 per month
  • Cash flow forecasting is capped at 30 days on Early and 60 days on Growing, with 180 days only on Established
  • Payroll is not included in any plan and costs an extra $36 a month plus $6 per employee or contractor through Gusto
  • Inventory Plus is a paid optional add-on rather than part of any plan
  • The advertised 90% off applies only to the first 6 months, after which the regular $25, $55 or $90 monthly price auto-renews
  • The introductory discount excludes add-ons, usage charges and payment fees
  • Payment fees apply to online invoice payments and to bill payments other than standard domestic ACH, and are billed on top of the subscription
  • Subscriptions are billed monthly with no annual payment option, and after upgrading you must wait one month before downgrading to a cheaper plan
  • Xero states subscription prices are increasing from October 1, 2026

Answered from the vendors’ own pages

Ottimate: Is Ottimate owned by AvidXchange?

No. Ottimate is the rebranded Plate IQ and operates as an independent venture-backed company. AvidXchange is a competitor, not the parent.

Ottimate: What was it called before?

Plate IQ. The company kept the same product and renamed it Ottimate.

Ottimate: Does it work outside restaurants?

It will process any invoice, but the line-item extraction accuracy that justifies the price is tuned to food and beverage distributors. Other industries should test carefully before committing.

Ottimate: Does it replace Restaurant365?

No. It handles invoice capture, approval and payment. Recipe costing and restaurant-specific inventory stay in Restaurant365 or an equivalent.
